The president of a Florida based multi-site organization recently contacted the Info Station requesting a proposal for services. In his request, the individual outlined his need for the current situation and recommendations regarding existing technology. 

In response, the Info Station began by first performing a full “Network Analysis.” In this phase the Info Station visited each of the customer’s sites, met with management and users, and discussed all the technical difficulties each site was having individually in order to gain a clear picture of the organization as a whole.

Once this was complete, the Info Station then made a formal proposal providing the customer with documentation for each finding and a resolution for each one. The Info Station also provided an overall “Action Plan” for the organization to consider in regards to the future of their technology.

The customer responded with  an eager invitation to meet and immediately review their top technological concerns and to set a date for the network analysis of each site.

After a very productive meeting with management and a schedule in hand, the Info Station visited each site and met with the site manager and staff to discuss their concerns. While on site, the Info Station:

  • Documented user difficulties
  • Documented hardware problems
  • Documented software problems
  • Diagrammed the network and recorded information on the network hardware and infrastructure.

Once the Info Station had carefully noted all staffs concerns and documented all important aspects of each site's network, the Info Station team worked to disseminate this new knowledge and gain a full understanding of the association’s needs in order to provide an efficient solution. Here is what we found:

  • Network communications were slow and intermittent.
  • Users had too much free access into the system.
  • The network lacked resource organization and proper file structures.
  • There was no connectivity between sites.

With this new understanding, the Info Station team went back to management and revealed its findings. Once the organization understood what the root issues were, we proposed the following solution:

  • Reconfigure the existing infrastructure to more effectively handle network communications
  • Implement user security policies and system security to restrict unnecessary user access
  • Create new folder and file structures organized by site and then department
  • Connect the sites logically using a Virtual Private Network (VPN), allowing for ease of administration and data sharing

The Results: Empowered by the Info Station team’s findings, the company approved the proposed solutions, and the Info Station then moved into the implementation phase, where we worked with each site to carefully implement all of the changes agreed upon.
